Student Discipline Affairs (Non-Academic)

The Student Discipline Affairs unit is responsible for ensuring the implementation of the Universities and University Colleges Act (AUKU), 1971 (Amendment 2012) and the University Malaysia Sarawak (UNIMAS) Regulations on Student Discipline, 1999 among UNIMAS students. This unit manages matters related to student misconduct cases that are brought before the Non-Academic Student Discipline Proceedings.
  • All applications to conduct activities (except those that are pre-requisites/academic requirements) must obtain approval from the Deputy Vice-Chancellor (Student Affairs & Alumni).
  • Applications to organize activities must be submitted to the Student Service Center (PKP), at least one month before the program date.
  • Applications to organize activities with a proposed budget of RM2,000 and the presentation by the applicant in the Student Activity Committee Meeting (if necessary).
  • Each proposal must have the support of an Advisor (Principal/Dean/Club or Association Advisor) before it is submitted to the Student Services Centre.
  • All activities must adhere to the established health and safety guidelines (SOPs).
  • Any fundraising activities (fees/donations/sponsorships) for student activities on and off campus by students/clubs/associations/colleges must obtain approval from the Vice-Chancellor of UNIMAS.
  • The submitted proposal should include the following information: The format above is subject to amendments from time to time. Students can refer to the UNIMAS Student Representative Council for the latest format.
  • Decisions regarding activity proposals will be issued by the Student Services Centre after decisions are made by the Deputy Vice-Chancellor (Student Affairs & Alumni) or the Student Activity Committee.
  • Information for activities involving external invitations as participants or speakers should be submitted to the Student Services Centre for invitation and related actions. Activity reports must be submitted to the Student Services Centre within TWO (2) weeks after the completion of the activity.
  • Advisors/Principals/Fellows can apply for advance funds from the approved activity allocation by filling out the form through the MyFas system and obtaining approval from the Head of the Student Services Centre before submitting it to the Treasurer's Office.
  • Financial adjustments for the conducted activities must be made no later than TWO (2) working weeks by submitting the expenditure details along with original receipts and obtaining verification from the Dean/Deputy Dean/Principal/Assistant Registrar/Club or Association Advisor or Group A Officer.
  • Clubs/Associations/Secretariats/Student Committees that have advanced funds for activity purposes can submit a memo for reimbursement of the advanced funds to the Head of the Student Services Centre, including the actual expenditure details and verified original receipts by the Dean/Deputy Dean/Principal/Assistant Registrar/Club or Association Advisor or Group A Officer.
  • Subsequent activities can only be conducted by the Club/Association/College after all activity reports have been submitted to the Student Services Centre and financial adjustments have been made.

Guide to Establishing Clubs and Associations

  • The club/association to be established should not be based on religious, racial, or political polarization.
  • Each club/association must open its membership to all UNIMAS students.
  • The club/association to be established and registered with PKP must prepare a constitution following the guidelines for constitution preparation set by the university.
  • All clubs/associations are not allowed to have any affiliation or receive financial support from external sources without the permission of the University.
